General Information:
Deposit & Peak/Off-Peak Details

  • A 50% credit card deposit is due at booking.

  • Load-in and load-out activities that disrupt regular park operations will incur charges at the Peak Hours rate.

  • Events and commercial photography or film production that occur outside of regular business hours or interfere with daily park operations are subject to facility rental fees. Fees vary according to Peak Hours, Off-Peak Hours, and Overnight.
  • Events or production inside the cavern or entrance sinkhole during Peak Hours (10am-Close) require a buyout of the entire business day. Buyouts unavailable Memorial Day weekend through Labor Day weekend. Other blackout dates apply.

  • After-hours cavern load-in is available as early as 60 minutes after the last tour goes in, charged at the Peak Hours rate.

INSURANCE

All weddings and events require a minimum $1,000,000 general liability insurance policy.

If you do not have general liability insurance, you may be able to purchase it through the links below. Otherwise, talk to your insurance agent or event planner.

Weddings: Get a wedding insurance quote from K&K Insurance.

Special Events: Get a short-term special event insurance quote from K&K Insurance.


Policies must be issued by an insurance company licensed in Texas.

No later than 14 days before the event date, provide a certificate of insurance naming Texas Parks and Wild­life Depart­ment, 4200 Smith School Road, Austin, TX 78744 as addi­tional insured.

Include the name and date of the event on the certificate.

Failure to provide this certificate will result in your event being canceled according to the cancellation policy.

PERMITS

All commercial photography or film production requires a permit from Texas Parks & Wildlife before booking.

A completed permit application and required documents must be submitted with the initial request.

The permit application must be approved by Texas Parks & Wildlife before the booking can be confirmed.

INSURANCE

All commercial photography or film production requires a minimum $1,000,000 general liability insurance policy.

Policies must be issued by an insurance company licensed in Texas.

Commercial Photographer/Film Production: Talk to your insurance agent about general liability coverage.

(Note: This is more than the $500,000 minimum coverage normally required by Texas Parks & Wildlife.)

These requirements apply even if the output of these sessions/shoots is for non-commercial use.

On the Day of Your Event

Organizers are responsible for providing their own furnishings and equipment, including tables, chairs, lighting, etc.

Organizers are also responsible for setup, takedown, and cleanup of the facilities after the event.

All personnel must use designated parking and loading/unloading zones and are responsible for carrying and transporting their own equipment at all times.

Going Inside the Cavern?

To make your cavern experience as safe as it is memorable, all personnel must participate in a mandatory safety briefing before entering the cavern.

All equipment used in the cavern must be carried in and out of the front entrance gate.

Events or production inside the cavern are limited to 49 people, including necessary park staff.

Organizers are required to provide a cavern gate attendant for additional security.

Park Alcohol Policy

In compliance with Texas Parks & Wildlife policy, public display or consumption of alcohol is prohibited at Longhorn Cavern State Park.

Event Cancelation Policy

Receive a full refund of the deposit for bookings canceled 14 or more days before the confirmed date.

Cancellations 7 to 13 days before your confirmed date will receive a deposit refund less 20% of the total booking price.

If you need to cancel less than 7 days before the confirmed date, either 1) the entire deposit is forfeit or 2) you can reschedule at no additional charge (subject to availability).
